Role & Responsibilities

The Client Service Associate is a part-time position that serves as an important point of contact for both clients and advisors, ensuring seamless service, operational accuracy, and a welcoming environment.

Client Experience & Office Support

  • Create a welcoming and professional office environment by greeting guests, answering incoming calls, directing visitors, and managing messages.

  • Respond to requests from existing clients and ensure timely follow-up to maintain strong client relationships.

  • Coordinate and schedule client meetings as needed.

Advisor & Client Support

  • Provide high-level administrative and operational support to financial advisors by proactively managing service requests and resolving client matters efficiently.

  • Assist with the preparation and breakdown of client meetings and related materials.

  • Handle sensitive or escalated matters with professionalism, discretion, and a client-first mindset.

Account Management & Operations

  • Lead the end-to-end onboarding process for new clients and assist with account transitions while ensuring accuracy, professionalism, and regulatory compliance.

  • Manage and review account openings, transfers, updates, and closures with a strong attention to detail.

  • Process and monitor financial transactions such as wires, required minimum distributions (RMDs), journals, and client distributions, ensuring proper documentation and compliance procedures are followed.

  • Maintain accurate and up-to-date client records within the firm’s CRM system.

Job requirements

Skills & Qualifications

  • Associate’s degree required; Bachelor’s degree preferred.

  • 2–3+ years of client service experience in financial services preferred.

  • Excellent written and verbal communication skills, with the ability to handle sensitive matters with professionalism and tact.

  • Strong interpersonal skills with a friendly, approachable demeanor that fosters positive relationships with clients and colleagues.

  • Highly organized, detail-oriented, and capable of managing multiple priorities independently.

  • Demonstrated commitment to professionalism, confidentiality, and discretion.

  • Familiarity with CRM systems preferred.

  • Proficiency in Microsoft Office 365 (Outlook, Excel, Word, Teams).
