The Office Manager/ Processing Coordinator will report to the Director of Advisor Onboarding.

The Office Manager will primarily be responsible for managing the Front Desk operations, ensuring that the office is running efficiently & kept clean, and adhering to our Incoming Correspondence and Mail Policy and Check Procedures. In addition, the Office Manager will also have Processing tasks and duties to support Operations, as necessary.

Job Responsibilities:

· Answer incoming phone calls for the main Stratos home office line, routing them to the appropriate party or taking messages to provide to the appropriate party, in a timely manner.

· Greet clients that visit the office and offer refreshments, as appropriate.

· Manage conference room scheduling and coordinate on-site meetings, including the ordering and set-up of beverages & meals, for attendees

· Prepare, implement, and maintain office policies and procedures; adhere to the Stratos mail and client check policy, depositing client checks as needed, and ensuring all advisors are following the policy, adhering to regulatory standards and guidelines. This includes depositing checks digitally to multiple custodians.

· Keep the office and building organized and operating efficiently. This includes working with third-party building vendors, ordering supplies, and communicating with Staff and Advisors on a regular basis to support ordering & supply needs.

· Open and close the office daily. Opening includes: preparing operational, service, and common areas to be ready for use before 9am. Closing includes: ensuring all operational, service, and common areas are clean and the building is secured.

· Develop and update processes, procedures, and checklists, as needed, for front-desk coverage.

· Provide continuous training for back-up support on front-desk responsibilities.

· Work with multiple custodians on new account processing & facilitation of Stratos-required forms.

· Maintain accurate and up-to-date client information and records, in support of Operational functions.

· Regulatory Compliance: Ensuring adherence to all applicable regulations and procedures.

Skills and Required Competencies

· Strong attention to detail & accuracy

· Excellent organizational and time management skills with the ability to prioritize work efficiently

· Proficient in Microsoft Office Suite and other relevant software

· Excellent communication and people skills

· Positive, can-do attitude with willingness to learn and grow within the organization

· Minimum of 1-2 years’ Experience in financial and/or banking industry, preferred

· Ability to work under pressure & meet deadlines
