Position Overview

We are seeking an experienced and highly organized Sr. Client Services Associate to oversee the daily operations of our financial advisory firm. The ideal candidate will be a proactive leader who can manage the practice's business processes, support the financial advisor in delivering exceptional client service, and ensure smooth office operations. The Client Services Associate will play a key role in maintaining the efficiency of the firm, ensuring compliance, and supporting the growth of the business.

Key Responsibilities

  • Operational Management: Oversee the day-to-day operations of the financial advisory practice, ensuring that the office runs smoothly and efficiently. Manage scheduling, office workflows, and administrative processes.

  • Team Leadership & Development: Lead and mentor the support staff. Provide guidance, training, and support to ensure that team members are productive and aligned with the firm's goals and culture.

  • Client Relationship Management: Collaborate closely with financial advisors to ensure exceptional client service. Manage client onboarding, communications, and ensure that client needs are being met in a timely manner.

  • Compliance & Risk Management: Ensure the practice is in compliance with industry regulations, company policies, and legal requirements. Work closely with compliance teams to monitor and update procedures.

  • Financial & Budget Oversight: Assist in managing the practice’s budget, monitor expenses, and ensure that financial goals are met. Provide reports to senior management as needed.

  • Practice Growth & Strategy: Work with leadership to implement strategies that drive business growth, including marketing, client retention, and new business development.

  • Technology & Systems: Oversee the implementation and maintenance of practice management software, CRM systems, and other technology tools to streamline operations. Ensure that data is effectively managed and accessible.

  • Vendor & External Relations: Manage relationships with third-party vendors, service providers, and other external partners to ensure the practice's needs are met effectively and cost-efficiently.

Job requirements

Qualifications

  • Experience: Minimum of 5 years of experience in practice management or operations management, ideally in a financial advisory, accounting, or professional services firm.

  • Education: Bachelor's degree in business administration, finance, management, or a related field; additional certifications in financial services or management a plus (e.g., CFP, MBA, or equivalent).

  • Skills:

    • Strong leadership and team management abilities.

    • Excellent organizational and multitasking skills.

    • High attention to detail with a focus on quality and accuracy.

    • Effective communication skills, both written and verbal.

    • Knowledge of financial advisory practices, compliance requirements, and industry standards.

    • Proficiency in office software (Microsoft Office Suite, CRM systems, practice management software, etc.).

    • Familiarity with MoneyGuide Pro, RedTail and Orion a plus.

    • Problem-solving and decision-making abilities with a proactive approach to resolving issues.
